Job Purpose:

Manage the office at Lakeside, an office of up to 500 people in the future.  Coordinate the office redesign and office move with the COO, PM and external suppliers, ensuring a smooth transition of all employees from Selsey to Lakeside. Following the move, be the key contact for the landlord and key facilities suppliers.

KEY RESPONSIBILITIES AND MAIN DUTIES:

Office design, fit out and move  

  • Support the COO and PM to liaise with the landlord and facilities team to ensure the facilities can be handed over to CAT in line with the project plan
  • Liaise with design and fit out team to ensure all questions are addressed on a timely basis to ensure smooth and timely completion of the design and fit out of the new facility
  • Liaise with any advisors used by CAT to support the move, including the cost consultant, ensuring that all costs associated with the fit out are clear summarised accurately. Liaise with CAT finance team in respect of the accurate accounting for these costs

Manage the transition from Selsey to Lakeside

  • Be the first point of contact for all employees when attending Lakeside. Coordinate visits by Selsey staff to Lakeside during the transition phase.  Provide a welcoming atmosphere for all employees and visitors
  • Ensure all employees attending Lakeside have the appropriate IT and telephony support prior to visiting
  • Coordinate the move between Selsey and Lakeside when the time arrives

Day to day office management 

  • Be the first point of contact for the Landlord / Lakeside facilities team.
  • Coordinate all facilities required for employees to work successfully in Lakeside including appropriate seating, desk, IT equipment, phone etc
  • Provide security badges on arrival
  • “Own it” and take pride in the office environment. Own the management of the office which will include managing office supplies, stationery supplies, kitchen supplies and laundry
  • Arrange maintenance of any appliances as necessary
  • Appoint and manage suppliers including contract cleaners, stationery suppliers, IT suppliers, Landlord facilities, security etc
  • Ensure the office and kitchen areas are kept clean, tidy and presentable at all times
  • Coordinate meeting room appointments and refreshments for meetings

Health & Safety in Lakeside

  • Ensure appropriate access security at Lakeside
  • Coordinate H&S requirements for Lakeside and any HomeServe required reporting
  • Liaise with any contractors visiting the site
  • Liaise with HR to ensure that all Fire and First Aid training is implemented and refreshed on a regular basis
  • Support appointment of and liaison with First Aiders at Lakeside
  • Ensure Insurance notifications visible in Lakeside

Other

  • Admin support for Leadership team based in Lakeside (3 FTE expected) including diary management, expenses, arrange meetings and refreshments for guests
  • Support the coordination of events held at Lakeside, including company briefings, Board meetings, HomeServe visitor days etc
  • Support charity events and people engagement events

Characteristics to make the role successful:

  • A self starter with a “can-do” attitude, have a friendly demeanour while still able to push hard to achieve targets and timelines
  • Good commercial acumen to assess contract terms re office and kitchen supplies
  • Strong IT skills in Word, Excel, Powerpoint
  • Strong interpersonal skills and stakeholder engagement

Qualifications:

  • Minimum of 6 GCSE, Grade C or above in English and Maths
  • A Levels and further education desirable
  • Desire to complete Heath & Safety training, to be funded by Checkatrade
